Mail Manager — an essential add-on to Outlook, originally developed by Arup — is an email management system that helps client and project-based businesses improve productivity and fortify digital paper trails by regaining power over unruly inboxes.
With ambitions to be acquired, Mail Manager engaged with N4 to architect, design and develop a native iOS and Android mobile app and refined desktop experience.
By extending their offering through a polished desktop experience and mobile-friendly app, Mail Manager became increasingly attractive to potential buyers.

Seamless translation from desktop to mobile-friendly
Users were well-accustomed to Mail Manager’s existing desktop application, so we had to be cognizant of developing an app that acted as existing customers would anticipate. N4 had to strike the perfect balance of considering ongoing expectations while elevating and developing new products.
Transforming Mail Manager’s existing tech stack — advanced search, predictive filing, seamless integration — into a native app for iOs and Android required a nuanced approach, eliciting heavy collaboration between the N4 and Mail Manager teams. We reached a consensus that their search tool had to be redesigned and rebuilt to meet on-the-go user expectations.
Close collaboration to ensure effective delivery
Before we broke ground developing the app, we worked with Mail Manager’s internal team to understand both their current priorities and future trajectory. As we progressed, N4 executed multiple rounds of user tests with customers and Mail Manager’s extended team to ensure our development aligned with stakeholder needs.
Our collective success was contingent on how well we worked together and the degree of synchronicity we delivered between the existing platform and brand new app. To ensure this happened, we went through multiple iterations and several rounds of meetings with Mail Manager’s development team until we got it right.
